Why your school's fee balances never quite reconcile
When a school tells us fee reconciliation takes two weeks, the cause is almost never carelessness. It is structural, and it is usually one of four things.
Payments arrive in more places than the ledger knows about
Bank deposit slips, M-Pesa to a paybill, cash at the office, and the occasional payment made directly to a director. If those four channels do not land in one place automatically, someone is reconciling them by hand — and hand-reconciliation of hundreds of learners is where errors live.
The fee structure changes mid-term
A new bus route, a trip, a uniform item. If the system cannot version a fee structure and apply changes from a specific date, every adjustment becomes a manual journal on individual accounts.
Opening balances were never truly agreed
This is the big one. Schools migrate to a new system carrying forward balances nobody has actually verified. Every subsequent term inherits that error.
We insist on a reconciliation of opening balances with the bursar before go-live, signed off, even when it delays the launch by a week. It saves months.
Parents and the school are looking at different numbers
If a parent's last statement is three weeks old, every conversation starts with a dispute. Automatic statements by SMS or a parent portal remove most of that friction — not because the numbers change, but because both sides see the same number at the same time.
What good looks like
- One ledger, fed automatically from every payment channel
- Versioned fee structures with effective dates
- Verified, signed-off opening balances
- Parents seeing live balances, not month-old paper
Schools we have moved onto this footing close the term in a day or two rather than a fortnight.
